Getting your own data in first

Most dashboard projects fail upstream of the dashboard.

The short answer

A dashboard can only be as good as the data underneath it. Getting Xero, Ontraport and your operational systems into one normalised place is the unglamorous work that decides whether the board is trusted. Do it first, and do it once.

The failure that repeats

Someone builds a beautiful board. Two weeks later a number looks wrong. Nobody can say whether the number is wrong or the board is wrong, so everyone quietly stops trusting it, and within a month it is not opened.

The root cause is almost never the chart. It is that the same concept meant three different things in three systems, and nobody reconciled them before drawing.

Decide these before you build

  • What counts as a sale? The invoice date, or the date the money landed? Both are defensible. Different answers produce different revenue, and you need one.
  • What counts as a customer? A contact record, or someone who has paid you? Your CRM and your ledger will disagree, and the gap is usually large.
  • When does a cancellation count? When they ask, or when the membership actually lapses? This alone can move churn by a full percentage point.
  • Which time zone? A day boundary in UTC puts some of Monday’s revenue in Sunday. For a business reporting locally, that is a real distortion.

Why one place beats four connectors

Bringing data together centrally means these definitions get settled once. Every tool downstream inherits the same answer, so your dashboard, your digest and your accountant are describing the same business.

The alternative, connecting each tool to each source, means the definition lives in several places and drifts. That drift is where “the numbers do not match” comes from, and it is expensive to unpick later.

Then, and only then, build the board

Once the definitions are settled and the data is landing consistently, building the dashboard is the easy part. Buddzee reads those metrics, adds targets and direction, and keeps a link from every figure back to its source.

That last part matters more than it sounds. A number you can trace is a number people will act on. A number nobody can explain gets argued about instead.
